Retail EDI for suppliers

For suppliers that deliver to retail chains: orders arrive straight in your ERP, despatch advice and invoices go out automatically, in the format each retailer asks for.

The challenge

Retailers require EDI. Each in its own way.

Large retailers require suppliers to exchange documents electronically in EANCOM / EDIFACT. Without EDI, orders are retyped, despatch notes are filled in on paper and invoices are reconciled late.

The result is transcription errors, rejected deliveries at the DC, penalties and hours lost every week. And every new retailer brings another specification to follow.

EDI messages in the flow

ORDERS
The purchase order arrives in your ERP automatically.
ORDRSP
Electronic order response: accepted quantities, delivery dates.
DESADV
Despatch advice with SSCC, batches and best-before dates.
RECADV
Receiving advice from the retailer’s distribution centre.
INVOIC
Electronic invoice, reconciled with the order and the delivery.

One integration point

One ERP, one connection, every retail chain.

Your ERP talks to a single partner: ZenB2B. We translate every order, despatch advice and invoice into the format and rules each chain requires, then deliver it over the channel the retailer uses.

A new chain means a new communication channel and new mappings for its messages. We set them up, build them and test them with the retailer, and your ERP stays connected to a single point: ZenB2B.

How ZenB2B handles it

We automate the whole cycle, from order to invoice.

We connect your ERP with each retailer’s systems and run the order-to-cash flow end to end. We map to the retailer’s specification, coordinate testing with their EDI team and monitor every document after go-live.

If your ERP can’t receive EDI orders yet, you can work directly in the ZenB2B Web EDI portal, and invoices can go straight to SmartBill, Oblio or FGO, already connected to e-Factura.

What you gain

  • No retyped orders Retailer orders land straight in your ERP, with the right EAN and GLN codes.
  • Faster receiving at the DC The DESADV arrives before the truck, with the pallets and SSCC codes the retailer expects.
  • Invoices issued from the actual delivery The invoice starts from the quantities delivered, so receiving discrepancies drop.

FAQ

Questions about retail EDI

Which EDI format do Romanian retailers use?

Most key-account chains work with EANCOM, the GS1 subset of EDIFACT for retail, each with its own implementation guide. We map to each retailer’s guide.

How does a connection with a retailer start?

Retailers accept an EDI provider at the request of their supplier. You appoint us as your EDI provider, and the retailer sends us its specification and test environment. We build the mapping, pass testing and certification, then switch the flow to production.

How long does it take to connect with a new retailer?

It depends on the retailer’s specification and testing schedule. You get a timeline in the written proposal, before any work starts.

Do I need an ERP for retail EDI?

Not necessarily. Partners without a compatible ERP can receive orders and send despatch advice and invoices from the Web EDI portal.
